Reports that fill themselves in

Every month, or after every batch, someone opens the same spreadsheets, copies the numbers, rebuilds the same charts and pastes them into the same report template. It takes hours, it is easy to get wrong, and it is rarely the work that person was hired for. We automate report generation like this: the tool reads your data, does the calculations and puts the values and charts into your own template. You check it, interpret the results, send it, and you get your week back.

Check your reporting in 2 minutes

Sounds familiar?

  • The monthly report takes a whole day, and most of it is copy and paste.
  • Only one person really knows how the report is put together, and everyone hopes they don't get ill in the last week of the month.
  • Every chart is rebuilt by hand, even though it looks exactly like last month's.
  • You find a wrong number after the report has gone out, and have to send it again.
  • There is a macro or a script for part of it, but nobody dares to touch it any more.

What we build

How it works today

Today the report is a routine of small manual steps. Data comes in from a monitoring system, an instrument or a colleague's spreadsheet. Someone collects the files, filters the right period, works out averages and limits, builds the charts and pastes everything into a text or presentation template. Then the whole thing is checked, turned into a PDF and sent. Monthly reports repeat this for every client or site; batch reports repeat it after every run in the lab. None of it is difficult. It is just slow, and every copy is a chance for a mistake.

How it works with the tool

We build a small report generator around your exact workflow. You point it at the data, choose the month or the batch, and it produces the report: tables, averages and charts in the places they belong, in your own layout, as a spreadsheet, text document, PDF or slide deck. The rules you apply by hand today (which cells to read, which values to flag, which samples to leave out) are written into the tool once, so every report is built the same way, whoever runs it. Under the hood it is a Python Excel report generator, but nobody on your team has to see or run any code. Your team keeps the part only people can do: reading the results and saying what they mean.

What it works with

Typical inputs are Excel and CSV files (any text-based data file, really), for example exports from monitoring or measurement systems, folders full of instrument files and existing databases. Typical outputs are text documents, slide decks, PDF files and spreadsheets, always in the template you already use. If your report is made from files on a computer, it can very likely be made automatically.

Client examples

Monthly plant reports, one click

Water treatment · Telwesa

Saves about 8 hours per client report, every month — and it scales with every client added.

“Report automation has transformed the way we work. We've cut hours of manual tasks and can now spend that time optimizing processes, serving our clients better and creating more value.”

Automated J-V batch reports

Photovoltaics R&D · Beyond Silicon

Saves about 3 hours of engineering time per reporting cycle.

“Working with Johannes at SWIFT4DATA was a great experience. […] The resulting J-V app transformed our workflow, empowering operators to monitor measurements, identify errors, and generate reports independently.”

How it works

  • A 30-minute call. We map the workflow you want gone.
  • A concept and a fixed quote. You decide before anything is built.
  • We build, install & support it. We test it with your real files and keep it running.

Questions we are asked

  • Do we need Python or any programming skills?

No. We write the tool in Python, but you get a normal program for your own computer. Nobody on your team has to write, run or maintain scripts.

  • What if our data or our report changes?

Tell us at the start what tends to change, so the tool is built with it in mind. If the structure of the data or the report changes later, the tool is updated. Minor updates and bug fixes are included; new features get their own quote.

Your problem looks different?

Tell us what you do by hand today and we will tell you, in two minutes, whether and how it can be automated.
